What to put in a business email signature: a simple checklist

Your signature goes out with every email you send. Here’s what to include, what to leave out, and how to keep everyone’s consistent.
Your email signature is one of the most-seen pieces of branding your business has. It goes out with every message, to customers, suppliers and people you haven’t met yet. A good one takes seconds to read and makes it easy to get in touch.
The essentials
- Your full name, as you’d like to be addressed
- Your job title, so people know what you do
- Your company name and logo
- One or two ways to contact you, usually a phone number and website
Nice to have
- Social links that you actually keep up to date
- A booking link if people often arrange calls with you
- A small banner for a current offer or event
- A disclaimer, if your industry needs one
Keep it light
Resist the urge to add everything. Three or four lines of details, a logo and a handful of icons is plenty. Use your brand colours, stick to one or two fonts, and make sure it still looks right on a phone.
